First, they want to know the exact number of people who attended the recent ball for the preparation of the report for the annual meeting. Second, they wanted to check on the records of guests who attended. As they want to be sure to bill the members for those guests who attended and don't want to make any errors. So, he requests them to fill out the form and return it.
